Responsible Recruitment Policy
How we recruit fairly: no fees to workers, right-to-work checks, clear written terms and vetted labour providers.
Draft for review. Items in [square brackets] need confirming before this policy is signed off.
Our principles
We recruit fairly, legally and transparently. We follow the Employer Pays Principle: no worker should pay for a job. The costs of recruitment are paid by us, not by the people we employ or engage through agencies.
Right to work and age
- Everyone’s right to work in the UK is checked before they start, as the Immigration, Asylum and Nationality Act 2006 requires, and the records are kept.
- We check proof of age. Our minimum age for employment is [16/18]. Workers under 18 have a young person’s risk assessment and are not given night or hazardous work.
Clear terms from day one
- Everyone receives a written statement of their terms on or before their first day, explained in a language they understand.
- Pay is at least the National Minimum Wage or National Living Wage, paid on time with a clear payslip, including holiday pay.
- No unlawful deductions are made, and workers are never required to use our (or a provider’s) accommodation, transport or other services as a condition of work.
- Identity documents are returned straight after checking.
Agencies and labour providers
- We use only reputable labour providers, under a written agreement that requires them to follow this policy, the Conduct of Employment Agencies and Employment Businesses Regulations 2003 and the law on pay and working time.
- Where work falls within the scope of the Gangmasters and Labour Abuse Authority (GLAA), we use only GLAA-licensed providers.
- We check that providers do not charge workers fees, that they pay agency workers correctly (including the equal-treatment rights under the Agency Workers Regulations 2010 after 12 weeks), and we review them [annually].
- [List of approved labour providers kept by: name, role.]
Induction
Every new starter, including agency workers, receives an induction covering health and safety, hygiene and GMP, their rights, and how to raise a concern or grievance.
Fair selection
Selection is based on the ability to do the job. We do not discriminate, as set out in our Equality, Diversity & Dignity at Work Policy.
Responsibility and review
This policy applies to everyone involved in recruiting for LaunchPad Manufacturing, and the labour providers we use. It is owned by [name, role] and has the full support of the directors.
We review it at least once a year, and sooner if the law or the way we work changes. Everyone it applies to is told about it at induction and when it changes.
Signed: [name], [director], LaunchPad Manufacturing. Date: [date].
